Intake Process for Requests
(Requests for Consult and Project Requests)
With the arrival of Fiscal 24/25, the institution has implemented new processes to help improve the strategy for minor capital projects. As a result, some adjustments have been made to the intake process for Requests for Consult and Project Requests.
Requestors will be asked to obtain written approval from:
- the Provost, CFO or President (based on your reporting contact), as well as
- your Dean, Director, or AVP (per the previous process) in order for resources to be allocated to your initiative.
This approval affirms a commitment by both your Faculty/Department Lead and your Executive Representative that the initiative is strategically aligned and integrated within the institution, and that budget and internal resources may be allocated to it. The process to obtain these approvals is detailed within the forms.
To help streamline and expedite your request, please ensure your submission includes both levels of approval, so it can advance without delay.
Once your request is submitted:
- We aim to provide receipt of your Request within 2 business days.
- The queue is reviewed on a biweekly basis.
- After the review has taken place, we will provide more information on the next steps in advancing your initiative.
Our Team & Our Work:
The Capital Planning and Projects Team consists of 3 Managers, Capital Projects (1 vacancy at present; summer 2024); 2 Associate Project Managers, with financial and administrative support. The team is responsible to manage all capital planning & project delivery activities on behalf of VIU.
For context, the overall number of initiatives "in the pipeline" (being planned, designed, or constructed) by Campus Development is between 250-300. Of those, typically 100-120 are "active" (being implemented). This includes everything from small, single-room renovations, to major capital projects.
Request for Consult
To acquire technical input from Campus Development for your planning and budgetary purposes on capital upgrades such as: renovations, furniture reconfigurations, employee moves, or any other proposed changes to VIU's buildings, systems, or grounds, please complete and submit a Request for Consult Form.
What is a “Request for Consult”?
- This is a service we offer for initiatives that are supported in principle by your Department Head as well as the Provost, CFO or President.
- The engagement typically involves a few conversations with someone from our Capital Projects Team to review the needs, objectives, goals and proposed location. It typically involves a minor assessment of the proposed scope and a high-level response in memo format, including a preliminary estimate.

Project Request
To engage with us on a capital upgrade that has been scoped / estimated, and is supported by your Department Head and the Provost, CFO or President, please complete and submit a Project Request Form.
These include improvements such as: renovations, furniture reconfigurations, employee moves, or any other proposed changes to VIU's buildings, systems, or grounds,
What is a “Project Request”?
- This is a service we offer for initiatives that are approved by your Department Head as well as the Provost, CFO or President.
- This is for work that requires a significant degree of planning and coordination because it is:
- multi-disciplinary in nature,
- usually involves a longer timeline (eg: weeks vs days), and
- is higher in value.
- It is work that needs a Project Manager to lead and coordinate objectives, scope, schedule, budget, stakeholders and communications.
If this is not the nature of your request, please visit Facilities Services to submit a Service Request:
- A Service Request is a task-focused repair or installation, usually involves a shorter timeframe (days vs weeks), and is lower in value than a project. It is work that can usually be provided using Facilities Services Trades staff, or that involves a single trade provider (eg: Electrician, HVAC Tech, Building Maintenance Worker, Groundskeeper).
